Graywolf Press seeks a detail-oriented, energetic, and motivated person for the position of Administrative Assistant.

Job Summary

The Administrative Assistant serves as receptionist, is responsible for incoming and outgoing mail, and provides administrative support in all areas to ensure the smooth running of Graywolf’s office and its publishing operations. This position reports to the Managing Director and the Marketing and Publicity Director.

 

Compensation includes health and dental insurance, as well as retirement benefits after one year of service. This is a full-time, non-exempt position.

Key Responsibilities

·      Answer phone and distribute messages; greet visitors.

·      Open and distribute incoming mail; receive deliveries.

·      Handle all outgoing mail and packages; supervise interns working in mailroom.

·      Maintain general tidiness of kitchen, office, and warehouse.

·      Maintain office supplies and equipment.

·      Help provide tech support to the office as needed.

·      Provide general assistance to the office as needed.

·      Maintain in-house warehouse inventory, including monthly counts, and manage stock transfers from MPS.

·      Assemble and ship books and other materials to conferences.

·      Process individual, special sales, export, and event orders.

·      Fill requests for desk copies and exam copies.

·      Assist with review formatting and maintenance of press files.

·      Assist with preparing agendas and marketing grids for all-staff meetings.

·      Submit books for awards.

·      Generate tip sheets for Graywolf’s UK distributor.

·      Assist with Title Management data entry: review quotes, event details, and contact records.

·      Assist with events and meetings as needed (ordering food, making dinner reservations)

 

Required Education, Skills, Knowledge, and Abilities

 

·      Interest in book publishing and contemporary literature.

·      Highly detail-oriented with strong organizational skills and the ability to prioritize work.

·      Previous experience with data entry.

·      Previous experience in an office environment.

·      Ability to work cooperatively and flexibly with our small staff and as part of a team.

·      High level of comfort with Mac OS and Microsoft Office suite and other basic office technology.

·      Excellent customer service skills and a professional and friendly attitude.

·      Good verbal and written communication skills.

 

Preferred Skills and Experience

·      Undergraduate degree.

·      Familiarity with Title Management.

·      Knowledge of HTML, Photoshop, Adobe Creative Suite, and/or Quickbooks.

 

Physical Demands

Must be able to perform the essential duties of the position with or without reasonable accommodation.

·      Required to move about in an office environment and sit for extended periods of time.

·      Frequent use of hands for data entry/keystrokes.

·      Must be able to carry and lift boxes of books and other materials.
