The selection and visibility tools in PowerPoint will allow you to hide elements on your slide so that they are not visible until you turn their visibility back on. For instance, if you had an existing PowerPoint that you wanted to use for a presentation but it had a graphical element that you didn’t want or need for that presentation, you could hide that element for that presentation and then turn it back on afterwards. Follow the steps below to learn how to hide and unhide those elements.

First, select any graphical element on your slide. This will open either the drawing tools tab or the picture tools tab.

On the drawing or picture tools tab, select the Selection Pane button in the Arrange section.

This will open the Selection Pane to the right where you will see a list of all graphical items (images, drawings, text blocks, etc.). Click on the eye icon next to the element you would like to hide and it will be invisible on the slide. When you want to turn the element back on, come back to the same location and click the box next to it to reactivate the eye and turn the item back on.

This is the system that SCAD IT uses to track work orders. FAQs are available on a variety of topics and are searchable.  To access Web Help Desk, go to the Workspace tab in MySCAD and look for the Web Help Desk link in the My IM&T channel.

Adobe Presenter is a plug-in for PowerPoint that is designed to work with Adobe Connect. This plug-in is not available on MACs so you must be using a PC to access it. The plug-in should installed by default for all SCAD staff and faculty PCs. To find the plug-in look for the Adobe Presenter tab in PowerPoint.

You can use the tab to record audio for your slides, add a quiz to a PowerPoint for use in Connect, or change slide timings for auto-play in Connect. Once you have completed your projects using Adobe Presenter, you can publish those directly to your Connect content folder. To do this, you will need to set-up the server settings for Connect.

Click on the Publish button in the Presentation group on the Adobe Presenter tab.

On the window that appears, select the Adobe Connect icon on the left-hand side.

Now set-up the server. Click on the Edit Servers button and then click Add.

In the Name field put SCAD Connect and in the URL field put scadconnect.scad.edu and click OK.

Then click OK and your presentation is ready to publish (you will only have to set this up the first time that you use Presenter, the settings will remain available on that machine from that point on).

To Publish your presentation click the Publish button and follow the prompts provided to your from Connect. If you have any questions about using Adobe Presenter, please contact the technology training coordinator at training@scad.edu.

If you ever wondered about quicker ways to do things in Excel, here is a link to lots of Keyboard shortcuts and explanations about which keyboard shortcuts still work in Excel 2010. The article also gives explanations about the use of various function keys in Excel 2010.

You can change the default save location in Word 2010 (or Excel 2010) if you are unhappy with the current default location. This means when you select Save As, the location you set will automatically come up rather than the default (for example it will automatically save to your H: drive if that’s how you set it). Follow these steps to change the location:

1. Click on the File Menu

2. Then select Options

3. On the Word Options dialogue box that appears, select Save from the list at the left.

4. Select the Browse button at the end of the row next to Default file location.

5. Browse to the path location you would like to select as your default Save location (for example: H:\).

6. Once you have the appropriate path showing in the field, click OK.

Now when you save a document it will always open that location by default unless you select a different file location.

 

It is imperative that you protect your SCAD passwords. The biggest thing you can do to protect your passwords is to not share them with anyone. You are not permitted to give your passwords to your co-workers or even your supervisor.  Giving someone else your password or using someone else’s password to log into the SCAD network or other SCAD applications is a violation of SCAD’s Technology policy.

According to the policy:

“Each network user is assigned a unique user name. Each user is responsible for the confidentiality of his/her password and account. Please do not share this information with anyone. School policy prohibits attempting any system security bypass involving equipment from SCAD.”

You can view the technology policy in its entirety in MySCAD on the Resources tab under the Policies channel.

If you would like to set-up filters in your SCAD e-mail you will need to log into Zimbra webmail first. Filters need to be set-up directly in webmail rather than a third-party mail client like Outlook. Filters allow you to apply a rule to a specific message. For example, if you would like all your messages from one specific person to go into a folder with that person’s name you can create a filter to do that.

Once you have logged into webmail, click on the Preferences tab and then the filter category at the left.

Now decide if you would like to set up an incoming filter (for messages arriving into your inbox or an outgoing filter (for those you are sending). To create an incoming filter, make sure you are clicked on the Incoming Message Filters tab and click the New Filter button.

In the window that appears you will need to set the parameters of your filter. First give the filter a name.  Then you will need to select how you want to identify the message. Is is from a specific person, have a certain word in the subject line , have an attachment, etc? If you would like to set messages from a certain person select From in the first drop-down menu then select matches exactly in the second drop-down menu. In the third field you will need to enter the person’s email address. At this point you can move to the steps of what you want done to the message or you can give more characteristics to identify the message. Perhaps a message from a specific person that also has an attachment.

If you are happy with your criteria to identify the message, you will now need to decide what actions are performed on the message. Under Perform the following actions you will need to select an action from the drop-down menu. To file the message in a specific folder, select File into Folder. This will then allow you to select the folder you would like to file that into or create a new folder to file the messages in. Once you have made your selections, click OK and all messages meeting the set criteria will be filed using the instructions given.

To set-up an outgoing message filter, you will follow the same steps but make sure that you have the Outgoing Message filters tab selected and then select New filter.

All SCAD staff, faculty and students have full access to Lynda.com through MySCAD. The link to access Lynda.com can be found on the Workspace Tab under in the My IM&T channel. You can create playlists in Lynda.com for trainings that you would like to view. You can also share these playlists with others so they can follow the same learning path.

To create a playlist, click on the Lynda.com link in MySCAD.

Once you are logged into Lynda, click on My Courses and select the playlists section.

Then click the Create New Playlist button.

On the window that appears, give your playlist a name and a description (optional) then click Save.

This will add the playlist underneath queue on the list to the left. Now you will need to browse for courses you would like to add to the playlist. You can use the categories on the playlist page or you can use the subject, software or author menus at the top.

Once you have found the course that you want to add to the playlist. Click on the small plus sign at the bottom of the course of the course listing and select the playlist that you would like to add that course to.

After adding all of your desired courses, click back on the My Courses menu at the top and select the Playlist you would like to share.

Once on the Playlist page, select the box next to share. This will give you options to email the list to others or create a link to share.

If you click the envelope, a window will appear where you can enter the person or persons email address you would like to share your list with. Please remember the person must have access to Lynda.com in order to view the trainings. All SCAD staff, faculty and students would be able to access this. You will have to manually type in the person’s email address as SCAD’s global directory is not available here.

The person will receive an email with a button to click on to access the list. Please note that the person will have to be logged into MySCAD to have direct access.

You can also share a link to the playlist. To do this click, on the link icon next to the envelope icon.

The window that appears will have a URL that you can copy to post or email to any SCAD users. Please use the URL in the first box for other SCAD users. Once again, the person will need to be logged into MySCAD to directly access the playlist. The second URL can be used for those outside of SCAD (assuming they have access to Lynda.com).

You can post this URL to Blackboard courses or MySCAD Department pages for reference.

If you have attended a SCAD Connect training and have meeting creation rights then you also have a content folder in Connect. This content folder allows you to upload files in Connect allowable format (*.ppt, *.pptx, *.flv, *.swf, *.pdf, *.gif, *.jpg, *.png, *.mp3, *.html, *.mp4, *.f4v or *.zip) into the folder so that it is present on the Connect server.

This can be useful to you in several ways. First, your content is on the Connect server so you will not have to worry if you have the content with you on your computer or some external media. This will also make the process of loading it into the Share Pod much quicker. Once you add files into the content folder, it has already gone through any conversion that needs to be done making it much faster to load than from your computer. Each item then has it’s own URL that you can send to a user to view rather than having to send attachments via email. These are independent of a meeting and can be viewed on their own (not tracked this way but viewed).

To add items to your content folder use the following steps:

1. Log into SCAD Connect with your network user name and password. Connect is accessible at scadconnect.scad.edu or through MySCAD in the applications channel on your Workspace tab.

2. On the management page, select the Content button next to the Create New heading

2. Next you will need to browse and find your file, give your content a Title (must be unique to all other content). You can then enter a URL if you would like (if you do not, Connect will generate one for you) and a summary (this is also an optional field). Then click Save.

3. You will then see your content information. Included in this will be the URL. You can send this URL to other SCAD users and they can log in and view the content without being in a meeting or SCAD Connect training. You will need to customize your permissions for them to be able to access this item.

4. By clicking on Set Permissions and selecting customize, you can either make the link public which would allow anyone to view the content or you can add individual SCAD users to the list of those able to view the content.

5. This will also make the item available to you within a SCAD Connect meeting. When you share a document in the Share pod you will have the option to select from your content folder. Simply click on the My Content link and all of the items you have uploaded will be available.
